JOB DESCRIPTION
This is a responsible secretarial, clerical, and technical support work. An employee in a position allocated to this class performs a variety of office support functions to a major department. Functions are generally diversified and require judgments to apply broader aspects of established practices and procedures. Problems and situations encountered do not generally fall clearly or concisely within the limitations of standard practices or precedents.
Training and Experience
Minimum Experience: High School diploma or equivalent and three (3) years secretarial or advanced clerical work required. Prefer AS with emphasis on secretarial, business, or computer courses. A comparable amount of training, education, or experience may be substituted for above minimum qualifications.
Professional Licenses/mandatory requirements
Possession of a valid Florida driver’s license required.
SALARY: $18.52 per hour plus benefits

Essential Functions
- Performs office support functions such as answering telephones and taking messages
- Effectively meets and deals with the general public and vendors
- Prepares reports and statistics as required by the Department Head
- Word processes daily letters, agendas, and correspondence including meeting notices and workshop notifications
- Processes office mail, processes supply requisitions, and maintains office files
- Retrieves and sends electronic mail messages as needed
- Maintains inventories for new equipment, furniture, etc.
- Solicits telephone bids for supplies and equipment
- Verifies purchases of materials, places orders or has orders placed through specified companies
- Designs and uses desktop publishing to produce brochures for workshops and the public. Also, types and copies any hand-outs necessary for these workshops
- Edit, word process, and use desktop publishing to process newsletters for mailing
- Designs, use desktop publishing, word processes, and copies programs; sends out invitations, keeps record of RSVP’s; make up place cards and name tags; types speeches; order supplies for departmental functions
- Processes and distributes newspaper articles and radio and TV announcements
- Handles repairs on office machines and other equipment in the Department
- Provides all additional clerical and word processing support on an as needed basis for related programs and publications of the Department
- Maintains Department Head’s calendar and schedules appointments with approval of the Department Head
- Process and mail monthly utility bills for customers not on electronic billing
- Required to work during a local declared state of emergency

- Knowledge of business English, spelling and math
- Knowledge of office practices and procedures
- Knowledge of administrative principles and practices
- Ability to collect, evaluate and analyze data relating to departmental functions such as accounting, personnel, purchasing and report writing
- Ability to work independently
- Ability to establish and maintain effective working relationships with others
- Ability to communicate effectively both orally and in writing
- Ability to use a variety of computers, printers, and software programs as well as other office equipment
- Ability to type 60 cwpm
Work Environment
Majority of work is performed indoors at a centrally located desk.
Essential Physical Skills/Demands
Will use both hands simultaneously while standing or sitting, requires pushing, pulling, twisting, bending, climbing, and lifting of ten (10) to fifty (50) pounds. Requires intermittent standing, and walking. Frequently requires sitting at a computer keyboard for long periods of time. Acceptable eyesight and hearing (with or without correction) to perform duties.
